This article will explain what the External Login security permission is and why it is used with a specific employee user account in Lightspeed Retail R Series for a workstation that is shared between employees throughout the day.
Lightspeed Retail R Series has two types of authentication that can be configured for an employee user account to allow them to log into Lightspeed Retail POS and they are listed below.
- External Login
- Lock Screen PIN
When an employee user account is created in Lightspeed Retail R Series, you must first enter the basic information for the employee such as First and Last Name, Employee Role, etc. and save the new employee as shown below.
In this instance, we created a new employee named "Register 1 Login" and assigned them to an employee role named "External Login".
In this example, the employee role named "External Login" only has the security permission named "External Login" enabled.
Once the new employee has been created, you can then go back into the newly created employee and proceed to continue with the account configuration.
You will now see additional panes on the left hand side for additional information and configuration of the employee. The pane that we will be interested in will be the one named "Sign In".
When you click on the pane named "Sign In", it will take you to this page.
The next section that must be completed is the section near the top named "Create Login Name/Password". This must be configured for every employee user account in Lightspeed Retail POS.
When configuring the "Create Login Name/Password" section, the Login Name must be formatted as an email address but does not need to be a valid email account for the employee.
Example: register1login@abc.com
When assigning a password to the new employee user account in Lightspeed Retail R Series, it must be at least 10 characters in length, must be hard to guess (according to Lightspeed Retail).
In this example, we will assign a password of "CompanyName!2345" in the fields named "New Password" and "Re-type Password".
Once the Login Name and Password has been configured for the new employee user account, you must immediately save the changes by clicking the "Save Changes" button in the upper left hand corner.
Please note that you must assign a Login Name and Password to every employee user account even if they will only be using a Lock Screen PIN to log into Lightspeed Retail R Series.
In the scenario where an employee user account will only be using a Lock Screen PIN to log into Lightspeed Retail POS, you will not provide the employee with their Login Name and Password that were created for them. You will only provide them with the PIN that you assign to them.
In this scenario where we are creating an employee user account that will only be used to initially log into Lightspeed Retail in either Google Chrome or the Lightspeed Retail R Series app on an iPad using their Login Name and Password, you do not need to assign a Lock Screen PIN to this employee.
After the Login Name and Password have been assigned to the new employee user account and the changes have been saved, you can then enable and assign a Lock Screen PIN to the new employee user account.
You may now enable a Lock Screen PIN by clicking the checkbox named "PIN Active".
After you have enabled the Lock Screen PIN for the new employee user account, you can then enter a Lock Screen PIN in the field named "Set New PIN". Please note that each employee user account must have their own PIN and that no two or more employees can have the same Lock Screen PIN. After the Lock Screen PIN has been set for the new employee user account, click "Save Changes" in the upper left hand window.
At this point, you have created a new employee user account in Lightspeed Retail R Series with their basic account information, their Login Name and Password, and Lock Screen PIN (if you assign a Lock Screen PIN).
This External Login user account named "Register 1 Login" is now able to log into the Lightspeed Retail R Series login page with their Login Name and Password located here.
Once successfully logged into Lightspeed Retail R Series with this External Login user account, you will see that they are logged in by looking in the upper left hand corner for their employee name shown below.
At this point, this External Login user account can only access the Item Search functionality in Lightspeed Retail R Series and can't access other functions of the system.
Now that the External Login user is successfully logged into Lightspeed Retail R Series, they can now click on the employee name drop down menu in the upper left hand corner and then click "Change Employee".
They will then be presented with a screen where an employee can then login by entering their Lock Screen PIN and then clicking "Login".
Once successfully logged in with their Lock Screen PIN, you will then see that the employee who will be using Lightspeed Retail R Series is now listed in the upper left hand corner and that they have access to the different areas in Lightspeed Retail R Series that has been assigned to them via the Employee Role by the business.
Whenever a change in employees is needed, they can simply click the employee name drop down menu, click "Change Employee", and have the next employee enter their Lock Screen PIN.
