Updating QuickBooks Point of Sale Desktop

QuickBooks Point of Sale Desktop is normally updated with new “Releases” throughout the year.  These “Releases” are meant to fix issues/bugs in the application that have been identified by Intuit.  Once a new “Release” has been made available by Intuit, you will be notified in QuickBooks Point of Sale Desktop that a new update is available and can be installed.

iPOS recommends that you perform a backup of your QuickBooks Point of Sale Desktop company file before installing an update for the application.

As with any QuickBooks Point of Sale Desktop update, please make detailed notes on ALL Memorized Reports.  Your memorized reports may not be available after the update and may need to be recreated.

There are two scenarios for updating QuickBooks Point of Sale Desktop to the new release and they are based on how many workstations you have that use QuickBooks Point of Sale Desktop.

  • The first scenario is if you only have one workstation that uses QuickBooks Point of Sale Desktop. This workstation is referred to as the Point of Sale Desktop server workstation.
  • The second scenario is if you have multiple workstations that use QuickBooks Point of Sale Desktop. In this scenario, there are two types of workstations pertaining to QuickBooks Point of Sale Desktop.
    • The workstation that the QuickBooks Point of Sale Desktop database is installed on is referred to as the Point of Sale server workstation. This is the workstation that all Point of Sale clients connect to so that they may access the company file.
    • All other workstations that use QuickBooks Point of Sale Desktop are referred to as Point of Sale client workstations. This means that they connect to a company file located on the Point of Sale server workstation.

Scenario #1

  1. Open QuickBooks Point of Sale Desktop on your Point of Sale server workstation.
  2. Click on the Help menu in the upper right hand corner of the application.
  3. Click on “Software Updates”, then click on “Check for Updates”.
  4. Click the radio button labeled “Update now (recommended)”, then click on the button labeled “OK” to start the download and installation of the update(s).
  5. You will then be notified if the update(s) completed successfully or not. Once the update has completed successfully, you may continue using QuickBooks Point of Sale.

Scenario #2

  1. Close QuickBooks Point of Sale Desktop on all of your workstations (Point of Sale server and client workstations).
  2. Open QuickBooks Point of Sale Desktop on your Point of Sale server workstation first.
  3. Click on the Help menu in the upper right hand corner of the application.
  4. Click on “Software Updates”, then click on “Check for Updates”.
  5. Click the radio button labeled “Update now (recommended)”, then click on the button labeled “OK” to start the download and installation of the update(s).
  6. You will then be notified if the update(s) completed successfully or not. Once the update has completed successfully, you may continue using QuickBooks Point of Sale Desktop on your server workstation.
  7. Open QuickBooks Point of Sale Desktop on your first Point of Sale client workstation.
  8. Click on the Help menu in the upper right hand corner of the application.
  9. Click on “Software Updates”, then click on “Check for Updates”.
  10. Click the radio button labeled “Update now (recommended)”, then click on the button labeled “OK” to start the download and installation of the update(s).
  11. You will then be notified if the update(s) completed successfully or not. Once the update has completed successfully, you may continue using QuickBooks Point of Sale Desktop on this client workstation.
  12. Repeat steps #7 through #11 for each additional Point of Sale client workstation that you may have.
  13. Once all Point of Sale workstations have been updated, you may continue using the application on all of your Point of Sale server and client workstations.

Please note that if you are using a Windows user that does not have administrator privileges, you must open QuickBooks Point of Sale Desktop as an administrator and then enter a password for an account on the workstation that has administrator privileges.  Attempting to update QuickBooks Point of Sale Desktop with a Windows user that doesn’t have administrator privileges will fail.

NOTE: Sometimes QuickBooks Point of Sale may say you are on the current version but you may not be.  In this case you will need to download and install the update manually on each POS PC.
