USING UNITS OF MEASURE IN QuickBooks POS DESKTOP For Beer Distributors

How to start using Units of Measure

  • Go to File>Preferences>Company

  • Under Inventory, select Units of Measure
  • Check box next to “I want to set up multiple units of measure for inventory, non-inventory, and service items.
  • Check box next to Print Units of Measure information within the quantity field on all documents.
  • Check radio button next to always display Units of Measure column in documents and lists.
  • Add the units of measure that you will be using and arrange them in order from smallest to largest unit of measure.
  • Next we will be to change the name of the "Inventory Attribute 1" and "Inventory Attribute 2" fields.
  • "Attribute" will be changed to "# Units"
  • "Size" will be changed to "Ounces"
  • Within Company Preferences, select My Field Labels, then scroll down to Inventory Fields.

 

 

  • Save

 

To Create an Item with Unit of Measure

  • Inventory>New Item

  • Create New Item. Base unit will always be the the case.   
  • Enter the number of ounces for each unit in the "Ounces" field.
  • Enter the number of units that make up a CASE in the "# Units" field

     Set up the Units of Measure:

  • To set up the Units, select Units in Add New Item screen and then specify base unit.

Example  1: Case of 4/6 Packs

  • 24 Pack is the Base Unit
  • 6 Pack is the Sell By Unit
  • 24 Pack is the Order By Unit

Set up the Base Unit

  • 24 Pack is the Base Unit, Cost is $14.00, Price is $19.00

Set up the Next Unit of Measure

  • 6 Pack is another Unit of Measure = .25 Base Units, Cost is $3.50, Price is $6.00

  • Designate your unit that you usually order
  • Designate your unit that you usually sell
  • Save

      

Example 2: Case of 24 Loose Singles

  • Single is the Base Unit
  • Single is the Sell By Unit
  • 24 Pack is the Order By Unit

Set up the Base Unit

  • 24 Pack is the Base Unit, Cost is $30.00, Price is $36.00

 

Set up the Next Unit of Measure

  • 12 Pack is another Unit of Measure = .50 Base Units, Cost is $15.00, Price is $18.00 

 

Set up the Next Unit of Measure

  • 6 Pack is another Unit of Measure = .25 Base Units, cost is $7.50, Price is $10

 

Set up the Next Unit of Measure

  • Single is another Unit of Measure = 0.0417 Base Units, Cost is $1.25, Price is $2.50

 

Example 3: 30 pack  (not loose) case that you will be breaking up into singles and 6 packs

For this scenario, you MUST create 3 separate items. You will not be using units of measurement for a scenario like this.  

You will first need to create the 3 separate item:

Now, since you will not be using units of measurement, you will need to use Qty adjustments to manually remove a 30 pack from inventory and add the inventory to the 6 packs and singles.

Let's say you are going to break up a 30 pack and create four 6 packs and 6 singles. Your QTY adjustment would look like this:

You can see that one 30 pack has been removed, which then created four 6 packs and 6 single cans. 

this must be done each time you would like to break up a 30 pack.

To create the QTY adjustments you simply need to click on Inventory from the top of POS and then click on New Quantity Adjustment. 

 

How to Sell Items with Multiple Units of Measure

  • Make A Sale
  • Select Item
  • The system will automatically default to the “sell by” unit you designated when you created the item.
  • If you need to change the unit type that you’re selling, click on Units
  • Select Unit you’re selling>OK
  • Continue adding items, as needed, to order
  • Modify units as needed to select Single, 4 Pack, 6 Pack, 12 Pack, 24 Pack, etc.
